Hut Manager

Ensure the effective maintenance and utilisation of the Section Hut(s):

  • Prepare and execute an annual maintenance programme for the Hut. This programme should consist of both regular maintenance tasks as well as one off major projects as required from time to time eg. exterior paintwork, toilet upgrade etc.
  • Organise regular work parties as necessary to carry out the tasks outlined in the annual maintenance programme. These should be organised during the summer months. Keep a record of repairs, what is needed, when it is to be done, what has been done, and when it was done.
  • Administer a hut booking system that best satisfies the needs of all hut users to partake in instruction courses, club trips, or casual use. A Hut Bookings Officer who reports directly to the Hut Manager can undertake this task for busier huts.
  • Keep proper records of hut utilisation for reporting purposes.
  • Hut fees are payable into the National accounts and not any accounts held by the Section. It is sometimes sensible that to aid the efficient collection of hut fees a voluntary hut warden scheme is organised.
  • Keep proper records of all money received as payments for hut fees and include this information in the annual and six monthly Hut Reports.
  • Prepare a brief annual Hut Report to be included in the Clubs Annual Report. These reports should cover the periods July 1 - Dec 31 and Jan 1 - June 30 to keep in line with the financial year.
  • Prepare an annual budget for the coming year's (July 1 to June 30) annual maintenance programme subject to approval by national Club Committee.
  • Keep proper records of all invoices and costs pertaining to maintenance work carried out on the hut. Any reimbursements for personal expenditure by club members should be obtained through the National Office.
Note that the overall responsibility for managing Club huts lies with the national Accomadation Committee. The Sections of the Club have been delegated the tasks of administering the hut booking system, the management of the annual maintenance programme, and dealing with DOC and other local authorities. Therefore this role reports to two committees - the Accomodation Committee and the local Section Committee.
