Membership & Promotion

Promote new membership and retain current members:

  • Manage the smooth induction of new members into the Section.
  • Ensure that information about the club and membership application forms are held and readily available at places such as the climbing wall, outdoor shops, and public information office
  • Field enquiries about the club and forwarding promotional material about the club to interested persons.
  • Follow up on enquiries.
  • Welcome new members by acknowledgement in the section newsletter and ensure they are put in touch with potential trips or climbing partners or buddies.
  • Equip other committee members with material to enable them to process membership enquiries "on the spot" as they circulate amongst the climbing community
  • 'Win back' current members by following up on overdue subscriptions, lapsed memberships, and 'strike offs'.
  • Compile information as to the common reasons people are not rejoining the club.
  • Maintain a roll of the membership of the Section. A regular roll report can be derived from the national database held by the National Office. This roll is confidential but all members of Section Committee should be furnished with copies that they can then use as a contact list.
  • Note change of address of members and ensure the Club Administrator is advised so as to minimise disruption to club services and correspondence to members.
  • Prepare member phone lists from time to time for publication in the newsletter. Be wary of Privacy Act constraints; active consent is required from each member before their personal details can be published.
  • Prepare membership reports for inclusion into the Section Report prepared by the Section Rep and Chairperson. The membership report should include member numbers, profiles (male, female, age, years in club, class, lapses, trends) and discussion on trends as well as initiatives undertaken and problems encountered in promoting membership. These statistics are used by Hillary Commission as NZAC performance measures.
  • Keep all correspondence, documents and other material related to this position filed neatly together. Hand these on and brief the next person holding this position.
